What is a Well Written Job Plan?
This show of the podcast is based on Job Plans. These job plans are documents that contain a step by step action routine for daily maintenance issues that arise in an organization. It is a procedural process that defines the performance standards for execution of day to day work. These plans are improved over time as the technicians face issues in the field and give feedback on their experiences to the planner. This leads to a job plan which has some safest and efficient ways to implement jobs in the field creating a good Knowledge Management System which works as a library for job plans.
Now, this document consists of four major sections:
- First one is header which includes what and why of the job. It can also include specifics of the equipment such as asset name, number, skills required, tools needed and the estimated hours for completion of the job etc.
- Second and the most important section is work plan which tells the technicians how to do the job. Do they just need to inspect something, replace parts or make adjustments as needed? It will have all the technical information for them to perform the task without any failure keeping all the procedural instructions in mind. It can also include some tips and tricks from the experienced technicians in the field.
- Next section is the picklist which contains all the material requirements to perform the work such as their sequence numbers with a short description and other details in order to save time.
- The most critical section is feedback that will allow the maintenance planner to consistently improve the existing job plans based on the knowledge and experience of the technicians.
A time comes in every organization when senior employees leave and less experienced ones take over. Now, they cannot handle daily issues as the old technicians used to. That is where a perfectly developed job plan helps in carrying the tasks without wasting any time. This will save the organization a lot of money while making sure everyone is executing their work the same way every time according to the provided specifications and defined procedures.
In the end, for writing a job plan, there are certain points that need to be considered:
- Always use simple and short sentences.
- Be specific and stay focused on the main points.
- Don t leave any vague information to eliminate possible interpretations in that job plan.
To do all of this, you need to have field experience to know the exact scope of that job. You also need to be aware of the issues that can arise while implementing the job. Maintenance job plans are the heart of maintenance and reliability programs. Good job plans enable procedure base maintenance which allows to improving the reliability across the organization with better-planned performance. Without a job plan, planning and scheduling cannot be done successfully but an up-to-date one helps in execution of daily jobs efficiently, effectively and above all, safely.
